This Policy covers the website relocationtopoland.com and the application at crm.relocationtopoland.com, including the pages /start, /checklist, /ebook, /consultation, /intake and the client portal.

2. What data we process and why

a) Free checklist and other lead magnets. Data: e-mail address, source of sign-up, technical data. Purposes: delivering the requested material (art. 6(1)(b) GDPR) and, with your consent, sending occasional e-mails about living in Poland and our services (art. 6(1)(a) GDPR). You can withdraw consent at any time via the unsubscribe link.

b) Purchases of digital content and consultations. Data: name, e-mail address, billing details, transaction data. Purposes: performance of the contract and delivery (art. 6(1)(b) GDPR), issuing invoices and tax compliance (art. 6(1)(c) GDPR), establishing and defending claims (art. 6(1)(f) GDPR). Card and payment data are processed by the payment provider (Stripe) — we do not store full payment card numbers.

c) Eligibility check / intake form and consultation preparation. Data: citizenship, current location and legal status of stay, dates relevant to your stay, purpose of relocation, family situation to the extent you describe it, deadlines and pending cases, preferred language, and any information you choose to include in the "tell your story" field. Purposes: assessing which procedure may apply to you, preparing your consultation, and presenting an offer (art. 6(1)(b) GDPR — steps taken at your request before entering into a contract). Please include only information that is relevant; the form does not require special categories of data.

d) Fit call bookings. Data: name, e-mail, service of interest, relevant deadline, source. Purpose: holding the call and follow-up contact (art. 6(1)(b) and (f) GDPR).

e) Client portal (existing clients). Data: account and case data, documents you upload, activity logs. Purposes: performance of the service agreement (art. 6(1)(b) GDPR), security (art. 6(1)(f) GDPR).

f) Instagram messaging. If you interact with our Instagram account (e.g. comment with a keyword to receive a link), your public profile name and message content are processed within Instagram; automated replies are sent through ManyChat. Purpose: responding to your request (art. 6(1)(f) GDPR). Meta's own terms and privacy policy apply to the Instagram platform.

g) Technical data and cookies. See our Cookies Policy. Analytics and marketing cookies are used only after consent.

3. Recipients of data

We share data only to the extent necessary with: hosting and IT service providers; Stripe (payment processing); Google (Workspace e-mail, Calendar and Meet used for consultations and calls); Meta Platforms / ManyChat (Instagram messaging automation); scheduling tools used for bookings; accounting and, where needed, legal advisors. These providers process data under agreements compliant with the GDPR.

Some providers (e.g. Stripe, Google, Meta) may transfer data outside the European Economic Area. Such transfers are based on the European Commission's adequacy decisions or Standard Contractual Clauses, with additional safeguards where required.

4. Retention

Lead data (checklist, newsletter): until you unsubscribe or object, and no longer than necessary for the purpose. Purchase and invoice data: for the period required by tax law (currently 5 years from the end of the tax year). Intake and consultation data: for the duration of our contact and the limitation period of related claims. Portal/case data: for the duration of the service agreement plus the limitation period of claims. Data processed on the basis of consent: until withdrawal.

5. Your rights

You have the right to access your data, obtain a copy, rectify it, delete it, restrict processing, data portability, object to processing based on legitimate interests, and withdraw consent at any time (without affecting the lawfulness of processing before withdrawal). To exercise your rights, write to hello@relocationtopoland.com. You also have the right to lodge a complaint with the President of the Personal Data Protection Office (PUODO), ul. Stawki 2, 00-193 Warszawa.

6. Voluntariness

Providing data is voluntary, but necessary to receive the requested materials, place an order, book a consultation or call, or use the portal.

7. Automated decision-making

The eligibility check suggests a likely procedure based on the rules you answer against; it is an informational tool, does not produce legal effects concerning you, and every case offer or service is reviewed by a human before conclusion of a contract.

8. Changes

We may update this Policy to reflect changes in the Service or the law. The current version is always available on the Service with the "last updated" date above.
