1. Who we are
The website relocationtopoland.com, together with its application subdomain crm.relocationtopoland.com (jointly: the "Service"), is operated by:

2. What these Terms cover
These Terms set out the rules for using the Service and for concluding distance contracts through it, including:
a) free electronic services: browsing the Service, the free checklist and other lead magnets delivered by e-mail, the eligibility check / intake form, the free introductory "fit call", and the client portal for existing clients;
b) the sale of digital content (e-books and guides, including "Your First 30 Days in Poland");
c) the sale of one-to-one consultations conducted online.
In matters not regulated here, Polish law applies, in particular the Act of 18 July 2002 on Providing Services by Electronic Means, the Act of 30 May 2014 on Consumer Rights, and the Civil Code. Nothing in these Terms limits the statutory rights of consumers.
3. Technical requirements
To use the Service you need a device with internet access, an up-to-date web browser, and an active e-mail address. Digital content is delivered as PDF files readable on standard devices. Consultations and fit calls are held via Google Meet; you need a device with a microphone (camera optional) and a stable internet connection.
4. Free checklist and other lead magnets
Free materials are delivered by e-mail after you provide your e-mail address and accept these Terms and the Privacy Policy. Providing the address and the related marketing consent is voluntary; you may unsubscribe at any time using the link in each message or by writing to us. The free materials are for your personal use.
5. Digital content (e-books and guides)
Ordering and delivery. You place an order through the checkout on the Service. Payments are processed by Stripe. Prices are shown in euro (EUR) and are total prices including applicable taxes. Immediately after the payment is confirmed, the file is made available for download and/or a download link is sent to the e-mail address provided at checkout. Delivery is deemed complete when the file or link is made available.
Withdrawal. As a consumer (or an entrepreneur with consumer rights) you have the right to withdraw from a distance contract within 14 days without giving a reason. However, in accordance with art. 38(1)(13) of the Consumer Rights Act, the right of withdrawal does not apply to digital content not supplied on a tangible medium if performance has begun with your express prior consent and acknowledgement that you thereby lose the right of withdrawal. At checkout you give this consent by ticking the relevant box; without it, the file is delivered after the 14-day period.
Licence. Purchased digital content is for your personal use. You may not resell it, share it publicly, or distribute it. All intellectual property rights remain with the Provider.
6. One-to-one consultations (paid)
What it is. A 60-minute individual online consultation (Google Meet) with an immigration consultant, concerning your situation connected with relocation to and legal stay in Poland, followed by a written summary sent by e-mail. The consultation price is shown in EUR at checkout (currently €49) and is a total price.
Booking flow. The service is booked as follows: (1) payment through the checkout; (2) completion of a short intake form; (3) selection of an available time slot after we review your answers. The consultation date is confirmed by e-mail together with the meeting link. We ask for the intake form so that the consultation time is used for your case, not for collecting basic information.
Rescheduling and no-show. You may reschedule free of charge up to 24 hours before the agreed time by writing to hello@relocationtopoland.com. If you do not join within 15 minutes of the agreed start and have not rescheduled, the consultation is deemed performed; in justified cases we may offer one replacement date.
Withdrawal. You may withdraw from the contract for a consultation within 14 days of purchase, unless the service has already been fully performed with your express consent. If you book a slot that falls within the withdrawal period, you consent to performance before its expiry; after the consultation has been performed, the right of withdrawal lapses (art. 38(1)(1) of the Consumer Rights Act). If you withdraw after requesting performance within the withdrawal period but before the consultation takes place, we refund the full amount.
Crediting. If, within 3 months of the consultation, you conclude a service agreement with us for a relocation/immigration service package, the consultation fee is credited toward the package price.
Nature of the service. The consultation and all materials on the Service provide practical guidance of a general and informational character based on your description of your situation. They do not replace representation in proceedings; the scope of any further services is agreed separately in a service agreement.
7. Free fit call
The free 15-minute introductory call serves to discuss how we work, the scope of services, packages, pricing and timelines. It does not include advice on an individual case. Booking requires completing a short form. The number of slots is limited; we may decline or redirect a booking where the form indicates that a consultation is the appropriate service.
8. Complaints
You may lodge a complaint about any service or digital content by e-mail to hello@relocationtopoland.com. We respond within 14 days. For digital content, we are liable for conformity of the content with the contract under chapter 5b of the Consumer Rights Act. A consumer may also use out-of-court dispute resolution, including the EU ODR platform: https://ec.europa.eu/consumers/odr.
9. Personal data and cookies
The controller of personal data is the Provider. Detailed information on processing, recipients (including Stripe as payment processor, Google as provider of Meet/Workspace, and Meta/ManyChat for Instagram messaging) and your rights is set out in the Privacy Policy and the Cookies Policy.
10. Final provisions
These Terms are available free of charge on the Service in a form allowing download and reproduction. We may amend the Terms for valid reasons (legal, organisational or technical); orders placed before an amendment are governed by the version in force at the time of the order. The law applicable to contracts concluded through the Service is Polish law, without prejudice to the protection granted to consumers by mandatory provisions of the law of their habitual residence. Any disputes with consumers are subject to the competent common courts; for entrepreneurs, the court competent for our registered office.
